How to Plan a Factory Visit in China

A factory visit should answer defined questions, not simply create confidence through a guided tour. The most useful visits combine legal identity, production capability, quality systems, current-order evidence and direct discussion with responsible managers.

Set visit objectives before booking travel

  • Confirm whether the site is the actual production facility.
  • Assess a particular process, product or capacity claim.
  • Review quality controls and traceability.
  • Resolve sample, tooling, delivery or commercial issues.
  • Meet the people who will own the order after the sales stage.

Request information in advance

  • Chinese legal name and exact factory address.
  • Agenda, attendees and responsible departments.
  • Production flow for your product.
  • Relevant certificates and recent audit reports.
  • Permission for photography, records review and sample collection.

Build a route through the factory

Follow the product flow rather than only the showroom.

  • Incoming materials and storage.
  • Production equipment and active lines.
  • In-process controls and nonconforming-goods area.
  • Testing, final inspection and packing.
  • Finished-goods warehouse and shipment records.

Ask evidence-based questions

  • Which processes are subcontracted?
  • How is material lot traceability maintained?
  • What is current capacity and how is it measured?
  • How are defects recorded and corrected?
  • What changes require customer approval?

Record observations consistently

Use a checklist, but also record contradictions and context. Photograph signs, equipment, documents and production evidence only with permission. Separate what was observed from what was stated by the supplier.

Finish with actions and deadlines

Before leaving, summarize open issues, requested documents, sample changes and responsible persons. Send a written visit report promptly and link major findings to supplier approval, contract terms or the next payment decision.
