How to Order and Compare Product Samples from Chinese Suppliers
Samples are useful only when they are ordered and compared under the same conditions. Without a written specification, version control and evaluation sheet, buyers can approve a “good-looking” sample that does not represent the final production standard.
Create one sample brief for every supplier
- Product dimensions, materials, components and finish.
- Functional requirements and test method.
- Packaging, labeling and included accessories.
- Target sample quantity and required delivery date.
- Reference photos or an approved benchmark, with measurable criteria.
Clarify the type of sample
Factories may provide an existing sample, a customized prototype, a pre-production sample or a production sample. Each proves something different.
- Existing sample: shows general category capability, not your final specification.
- Prototype: tests design and engineering choices.
- Pre-production sample: should reflect approved materials and production method.
- Golden or sealed sample: retained as the reference for inspection and dispute handling.
Track versions and changes
Assign a version number and date to every sample. Keep a change log showing what was requested, what the supplier changed and what remains open. Avoid approving changes through scattered chat messages.
- Photograph packaging and product from consistent angles.
- Record measurements and test results.
- Label physical samples so they cannot be confused.
- Confirm whether sample materials were handmade or production-grade.
Compare on a scorecard
- Specification compliance.
- Finish, workmanship and defect level.
- Function, durability and safety.
- Packaging protection and presentation.
- Supplier speed, clarity and response to corrections.
- Total sample cost and realistic production lead time.
Do not let sample approval replace production control
A perfect sample can be made by a senior technician while mass production uses different workers, materials or subcontractors. Transfer the approved sample into a production specification, incoming-material checks and pre-shipment inspection criteria.
Approve with conditions in writing
State exactly which version is approved, which differences are accepted and which items must be corrected before production. Keep one approved sample with the buyer or inspector and one sealed reference with the factory.
